Personal Assistant / Administrator & Client Services Administrator- Hybrid Role

This is a fantastic opportunity for someone who enjoys being the “go-to” person in the office, balancing client service, PA support and administration while working with a high-quality and diverse client base.

The Role:

This is a busy and varied position where no two days are the same. You will work closely with the Partners and wider team to ensure the smooth day-to-day running of the practice while delivering exceptional service to clients.

Your responsibilities will include:
  • Managing incoming calls, emails and client enquiries
  • Diary management and scheduling appointments for the Partners
  • Client onboarding and maintaining accurate client records
  • Assisting clients with nominating new tax agents via ATO Online Services
  • Supporting AML compliance requirements for new and existing clients
  • Assisting with ASIC and ATO updates
  • Proactively managing lodgment lists and monitoring deadlines
  • Liaising with clients regarding outstanding documentation and information
  • Preparing digital signing packs and following up signed documents
  • Database and document management
  • Reviewing and updating templates and internal processes to improve efficiencies
  • Supporting the accounting team with general administration duties
  • Assisting with workflow coordination and practice processes
  • Drafting and preparing client invoices
About You, To be successful in this role, you will ideally have:
  • Previous experience within an accounting, legal or professional services environment
  • Strong administration, PA or client services experience
  • Excellent communication and interpersonal skills
  • High attention to detail and strong organisational abilities
  • A professional and client-focused approach
  • The ability to multitask and work in a fast-paced environment
  • Strong systems skills and confidence learning new software
