A well-established and professional accounting firm is seeking an experienced Receptionist to join its team in a key front-of-house position.
As the first point of contact for clients, this role will play an integral part in creating a welcoming, professional and positive client experience, while ensuring the day-to-day front-of-house operations of the firm run seamlessly.

The successful candidate will ideally have at least 2 years' experience within an accounting firm, with an understanding of the accounting environment, ATO correspondence and industry-specific software.
The Role:
The successful candidate will be responsible for providing exceptional front-of-house and administrative support while acting as a friendly and professional first point of contact for clients.
Key responsibilities will include: Reception & Client Service: - Answer and direct incoming calls in a professional and friendly manner
- Welcome clients and visitors and provide a warm, professional experience
- Prepare refreshments for clients attending meetings
- Manage client arrivals and notify relevant team members
- Coordinate client appointments and assist with diary and meeting scheduling
- Handle general client enquiries and direct technical matters to the appropriate team member
- Maintain a consistently high level of client service
ATO Correspondence: - Monitor ATOmate daily and action incoming ATO correspondence
- Understand and interpret the nature of ATO notices and correspondence
- Identify matters requiring further attention and ensure they are appropriately actioned
- Forward relevant ATO correspondence to clients promptly
- Escalate notices requiring accountant or Partner attention
Systems & Document Management: - Utilise Xero Practice Manager (XPM) for client and practice-related tasks
- Use FYI Docs to file, manage and retrieve client correspondence and documents
- Maintain accurate client information and records
- Assist with scanning, filing and general document management
Front of House & Office Support: - Prepare meeting rooms prior to client appointments and reset them afterwards
- Ensure reception, kitchen and meeting areas remain clean, organised and presentable
- Receive, open, sort and distribute incoming mail
- Coordinate outgoing mail and couriers
- Assist with general office organisation
- Complete ad hoc administrative tasks to support the smooth running of the firm
The ideal candidate will be: - Experienced: At least 2 years' experience working within an accounting firm is highly desirable
- Personable: Bubbly, outgoing and confident when interacting with clients
- Professional: Well-presented and capable of representing the firm with confidence
- Highly organised: Able to manage competing priorities and keep the office running smoothly
- Proactive: Someone who takes initiative and doesn't wait to be asked
- Tech savvy: Comfortable using systems such as XPM, FYI Docs and ATOmate
- Client-focused: Passionate about creating a positive and professional client experience
- A team player: Happy to support the wider team and contribute to a positive office environment
